POSITION SUMMARY STATEMENT:  

This position assists with activities on all event logistical facets of a diverse portfolio for North America events as assigned.   Working with internal and external stakeholders to ensure that strategic objectives are met, budget targets are met or exceeded, and internal customer satisfaction is high. This position requires supervision and is responsible to assist with making a wide range of critical decisions, working closely as part of an overall high performance team.

 

DETAILED RESPONSIBILITIES/DUTIES:
  • Duties may include creating spreadsheets, presentations, maintaining files, creating event binders and production books
  • Coordinate contracts for independent contractors, venues, hotels and services. Maintain good communication with the legal team for contract reviews and policies while routing these items for appropriate approvals and signatures - maintain files of executed copies
  • Participation on site and support local or regional events when needed
  • Responsibilities to include coding for all invoices and purchase requisitions
  • Research event destination and venues for pre-selection
  • Coordination of hotels and travel for the events and sales team
  • Schedule meetings and take meeting notes for various events
  • Coordinate event calendar and agenda updates
  • Liaise with vendors and venue partners as assigned
  • Create, place and monitor product displays
  • Maintain and update forecast files for events
  • Assist with expense reports, invoice and budget reconciliation

SUPERVISORY RESPONSIBILITIES:  None
REQUIRED QUALIFICATIONS:
Skills:
  • Proficiency in MS Office (Word, Excel, PowerPoint and Outlook)
  • Ability to travel 35% of the month
  • Ability to solve practical problems and carry out responsibilities under general supervision
  • Ability to organize workload for effective implementation; ability to manage multiple projects simultaneously.
  • Excellent verbal and written communication skills
  • Ability to function as an effective team member and strong customer relations
  • Ability to interact effectively at all levels with sensitivity to cultural diversity 
Experience:
  • 2-3 years of event experience
  • 1 or more years of experience in corporate or third-party event planning
  • Prior experience in a high-touch, customer service environment
Education:  
  • High School Diploma
PREFERRED QUALIFICATIONS:
  • Bachelor’s Degree in Marketing, Business, or Hospitality Management
  • Experience in accounting background
  • Bilingual English/Spanish
